Making decisions can be a challenging process, especially when faced with uncertainties, differing perspectives, and the complexities of group dynamics. At our January virtual luncheon, Kent Burkholder delved into the concept of Decision Quality—a structured process designed to improve decision-making and overcome common obstacles. What Is Decision Quality? Decision Quality is a systematic approach that helps individuals and organizations make better decisions faster. Previously known as decision and risk analysis, this method combines facilitation, mathematical tools, and organizational behavior insights. The process involves three key phases: Framing the Decision: Establishing a shared understanding of the problem by sharing background, defining the problem clearly, and identifying decision-makers. Generating Alternatives: Using tools like brainstorming, decision trees, and scenario planning to explore possible solutions. Evaluating Alternatives: Comparing trade-offs, prioritizing options, and mapping choices against key objectives.   Why Are Decisions Difficult? Decision making, seemingly difficult, can be attributed to some of these common challenges: Having differing ideas in mind Uncertainties and incomplete information Cognitive biases like recency bias and past experiences Managing multiple stakeholders Changes in scope or unclear customer requirements Overcoming Biases in Decision-Making Kent explored two types of systematic thinking that influence decisions: System 1 Thinking: Fast, instinctive, and emotional; often prone to errors and biases. System 2 Thinking: Slower, deliberate, and logical; designed to counteract impulsive judgments but still susceptible to bias. By using a structured framework, decision-makers can move beyond these biases and engage in thoughtful, productive discussions.   A Framework for Better Decisions The Decision Quality framework emphasizes collaboration and structure through these steps: Frame the Problem: Define the issue, align perspectives, and identify key players. Generate Alternatives: Use creative tools to list and organize potential solutions. Evaluate Alternatives: Prioritize and compare strategies against goals. Regular discussions within this framework foster efficient decision-making and prevent analysis paralysis. Final Thoughts Decision Quality offers a practical way to navigate the complexities of decision-making, ensuring clarity, consistency, and confidence in the process. By framing problems, exploring alternatives, and systematically evaluating options, teams can achieve better outcomes. Decision Quality is a structured process explicitly designed to improve decision-making. It weaves together facilitation, mathematical, and organizational behavioural tools to help companies reach clarity in their decisions faster. The reason they fail isn’t because of a lack of sophisticated technology. It’s not because the right systems and processes aren’t in place. It’s because leaders haven’t nurtured strong and healthy teams.Teams today demand not only a trusting culture, they need to see themselves directly shaping and contributing to it. Leaders who practice relational leadership will find themselves proactively motivating teams to capitalize on opportunities and stare down constraints. As an agile project manager, Anne worries about her team’s inability to release features faster. Right now, it takes them a week to prepare a release. The automated tests need three days to run because the machine is so old. Then the build system takes another two days. Because everything takes so long, the team starts new work before it really completes the older work. Worse, the team members thought they were done with the older work. When the tests or the builds fail, team members have to switch back to what they did before. As a result, everything takes too long and costs too much. Anne decides she wants to convince her management that they need to invest in new machines for testing and to update the build system. She needs a business case to explain the problems, the costs, and the possible solutions. Anne knows her boss, Marty, is a business-savvy leader. He wants more agility so the products can attract and retain more customers. So, Anne will focus her case on what Marty needs to know. A business case describes the current situation, the various benefits of changing that situation, and then the options and their benefits. Read More Here. The Art of Fogging:  How to Address Conflict and Safely Move On - Lisa DiTullioConflict among teams is probably the quickest and most direct way to disrupt team harmony.  And yet, many of us prefer to avoid conflict rather than confront it and move on.  When teams acknowledge they will face conflict, find simple ways to deal with conflict, and move on, they are likely to take conflict in stride rather than be derailed by it. The art of Fogging is a simple practice which enables team members to address conflict head-on, preventing the situation from escalating into something destructive that causes long-term damage to relationships and teamwork. Establishing individual roles and responsibilities is a critical component of any project manager’s job. Not only does it give the project team members a better understanding of what’s expected from them, but it makes it easy for project stakeholders to track progress and measure success. But, this process is easier said than done. When overseeing projects with dozens or even hundreds of team members, it’s impossible to keep track of all of this information without some sort of chart or spreadsheet — and that’s exactly where the DACI and RACI models begin to shine. What is the DACI Model? The DACI model is a decision-making framework that establishes authority over the various elements of a project. With a DACI matrix, project participants are assigned one of four letters to determine their impact on key decisions. D: The driver is the one who is responsible for making the final decision regarding a particular course of action. A: Next in the chain of authority is the approver, who is responsible for approving decisions that pertain to the project. C: These individuals are responsible for contributing to a decision. However, they don’t have the authority to influence the final decision in any way. I: Individuals with the least amount of authority are the informed participants. While they need to be informed of the final decision, they have no influence in actually making the decision. In most cases, there is a single driver for each one of the project’s elements. However, different drivers can be assigned to different aspects of the same project. Individuals can also have multiple assignments across the DACI matrix. While it’s usually the project manager’s job to decide on the overall vision of the project, for example, it’s generally the quality assurance team that decides when to release the product or when to delay it. However, the project manager might have the responsibility of approving or denying their decision. Read More Here. Presentation Learning Objective: The expectation is that the projects will still need to be managed; processes will still need to be followed; and expectations must still be met.  The project remains as a temporary endeavor undertaken to create a unique product, service, or result.  How we get there may just look a bit different.  After this discussion it is expected that the participants will see how project management approaches can still be used even in this disrupting world. Agenda  11:55 – Announcements and Introductions 12:00-12:55 – Presentation 12:55-1:05 – Comments and Q&A Presentation Topic: Motivating Your Team During Times of Change Speaker: Marianne Bell, PMP. Speaker Biography:  Marianne Bell is a certified project management professional and Maxwell Leadership coach, trainer and speaker that has spent the majority of her career helping leaders in the public and private sector achieve their business goals through technology enabled business process improvement or transformation initiatives.   She is currently working with the College of Medicine’s Accreditation Office to ensure medical students receive a quality education and BLG Business Solutions to enable small business owners to teach online with Kajabi Presentation Overview: As project managers and leaders, we know projects are the most effective way to create the change our organization’s need to realize strategy yet according to a 2019 international survey of 1,636 executives sponsored by the PMI’s Brightline Initiative, only 1 out of 5 organizations achieve 80% or more of their strategic intent. In their free online course on how to turn ideas into results, Brightline suggests the cause of this gap between the design and delivery of strategy is not a problem with how we execute the projects but with human behaviour. They say, to deliver stellar results, people need to be hyper-aligned and laser-focused on the highest-impact actions that will drive the organization’s most important outcomes. Having a motivated team helps achieve this but when people are feeling disconnected, disengaged, and leaving for other opportunities, what can be done to have a motivated team? In this presentation, Marianne will talk about how encouraging your team to create a personal transformation plan using the Maxwell DISC behavioural report can be an effective way to enable: 1) retention of dis-engaged team members, 2) building an inclusive team environment and 3) achieving strategic intent. Presentation Learning Objective: Attendees will walk away with tools they can use to help their team a) define & align their career aspirations with the project’s purpose b) develop an understanding of themselves – how they solve problems, respond to challenges, communicate and are motivated and c) Develop a personal transformation plan that works.  Click here to register          We want to hear from you! In 2020, PMI North Saskatchewan turns 20. From our humble beginnings in 2000 with 25 charter members to over 400 members today, we have embraced the ever-changing and evolving world of project management. In addition to tremendous growth, our chapter has seen many changes and we pride ourselves on keeping up with emerging trends to meet the needs of our membership. One of the changes you will have noticed is the new logo for PMI. In 2019, as part of PMI Global’s 50th-anniversary celebration, a new PMI logo was introduced with strict marketing guidelines. It looks significantly different from the logo PMI has used since 1969. For the over 300 chapters worldwide, this means the incorporation of a chapter-specific purple icon into the bottom right quadrant of the PMI logo. What does this mean for us? It changes our North Saskatchewan chapter orange tiger lily to a purple lily. Although the tiger lily is an iconic symbol of Saskatchewan, and part of our chapter identification for 20 years, we are embracing the purple lily as a melding of both our past and future. Purple lilies are a rare lily that represents pride, success, dignity, admiration, and accomplishment. We think this encompasses our diverse and varied membership very well and we welcome our new logo as begin our 21st year as a chapter. In 2020, PMI North Saskatchewan turns 20. At our PDD in April, we promised to follow up by providing a copy of Dr. Janice Thomas's slide deck for her presentation Are you really managing risk? Presentation About the Presentation  Projects are risky business. Project Managers are tasked with managing this risk to limit project and corporate exposure. Project management training always includes sections on risk management. In fact, for many iterations the PMBOK contained more pages on risk management than any other topic. So, clearly, Project Managers know how to manage risk right? Wrong! Unfortunately, research and experience tell us that many organizations do the bare minimum required to be risk compliant. In this workshop, we examine best practices to assist with reducing project risk exposure and address the question: What should you do on your project to improve risk management today? Dr. Janice Thomas, Phd, MBA, BSc is a world leading scholar and consultant on effective management and governance of large and complex organizational projects. She is Professor of Organizational Analysis and Project Management, and Department Chair for Organizational Analysis in the Faculty of Business at Athabasca University, Canada. Janice has 30 years of management, consulting, planning, research, and academic experience in both the public and private sector. In 2006, Janice was identified by PMNetwork as one of the 25 most influential women in project management in the world. She was also recognized by the Project Management Institute for her research contributions to the project management body of knowledge.in 2010, and in 2014 by the International Project Management Association for her research exploring project management as a management innovation. Known as the “LIM” for short, this 3.5-day event brings North American chapter leaders together with world-class presenters to share and learn. This year was no exception as Chicago hosted over 1,000 attendees and delivered outstanding value. This is a great opportunity for our chapter, and every year, PMI-NSC sends 4-5 volunteers. Ruth Glatt, Pam Naicker, Barb Cross, and Jonathan Moore-Wright attended this year. The first day included regional meetings. PMI-NSC is part of PMI Region 2 which includes 21 chapters from the mid-western US, Manitoba, and Saskatchewan. We joined our R2 colleagues to discuss regional topics and to network with our peers. Regardless of chapter size, we all share many similar challenges with running a successful chapter. The theme of this year’s LIM was all about being Change Makers, a very fitting message for us in our roles as project managers. Each of days 2-4 day kicked off with an inspiring keynote. We heard from Derreck Kayongo, founder of the Global Soap Project, who urged us to seek balance and to find passion in everything we do. Carey Lohrenz, the US Navy’s first female F-14 fighter pilot, challenged us to lead teams in dynamic, fast-paced environments. And Sir Tim Berners-Lee, inventor of the World-wide Web, took us on a spirited journey through the history of the internet, encouraging us to foster creativity, collaboration, and attention to consequences in our chapters and our projects. The rest of the time was filled with presentations and break-out sessions tailored in different areas for chapter success such as retaining members, recruiting volunteers, utilizing PMI resources, and strategic planning. Chapter leaders are able to sign up for a multitude of presentations based upon the needs of the chapter. The learnings from these sessions both inspire us and provide us with tools and knowledge to implement at our own chapter. PMI makes every effort to celebrate success and throughout the LIM there were many awards ceremonies. Day 2 we attended an awards luncheon highlighting the accomplishments of chapters and their volunteers. The last evening of the conference we attended the annual PMI Professional Awards Gala that recognized outstanding organizations and individuals that make the greatest contributions to the project management profession. Inspirational! There was time for a little bit of time for fun, too! Chicago is a vibrant city with many cultural, artistic, and sporting events. The evenings allowed for a good amount of networking with other chapter leaders, for re-connecting with friends, and for making new connections to continue to find new ways to better serve our chapter members. And, there was deep-dish pizza! After another successful LIM, we return to our chapter with excitement and motivation to continue providing our membership with the value that makes us all proud to be part of PMI. We’d love to share more about this experience, so please reach out to any of the attendees for more information.     Let us know if you have a great idea for an event. For immediate release: June 14, 2016City of Saskatoon Recognized for Citizen-Centric Approach to Neighbourhood Traffic Improvements For immediate release: June 14, 2016 TU16-319 Each year, the Project Management Institute, North Saskatchewan Chapter (PMI-NSC) recognizes one project that best demonstrates exceptional performance, leadership and delivers significant value and return on investment for the customer.  This year, the City of Saskatoon’s Neighbourhood Traffic Review program was awarded this prestigious honour for its community-wide approach to resolving traffic issues that is built around finding solutions through engagement with residents. “Rather than looking at each traffic issue individually, we take a step back and consider the traffic movements, safety requirements and culture within the entire community,” explains Angela Gardiner, Acting General Manager of Transportation and Utilities. “We encourage people to take an active role in the traffic review process for their neighbourhood so we can hear about issues that matter to them.” A typical neighbourhood traffic review is a complex, year-long process aimed at improving the quality of life in the neighbourhood by making adjustments to how people use local and collector streets. The process begins with community meetings to collect feedback on issues such as speed, pedestrian safety, traffic volume and short cutting. In addition, residents can also provide feedback through online forums. Studies are then conducted to measure vehicular speed, traffic volume and pedestrian usage, which are analyzed and used to develop recommendations presented for feedback by residents. The City completes eight neighbourhood traffic reviews each year. “Each Saskatoon neighbourhood is unique and this approach allows us to get right to the core of the issue,” says Gardiner. “Our approach values the feedback of the people who are using the area every day to help solve the issue.” The City was presented with the “Project of the Year” award today at the PMI-NSC Annual General Meeting.
